This notice explains what personal data Kobold League collects and how it is used. It is a working draft prepared by the league organisers and should be confirmed with a qualified adviser before being relied upon. If anything here is unclear, contact us at privacy@koboldleague.co.uk.

Who we are

Kobold League (“we”, “us”) is a community-run amateur Dota 2 league based in the United Kingdom. We are the data controller for the personal data described below.

What we collect and why

Account and identity

When you sign in with Discord we receive your Discord user ID, username, and avatar, and (if you connect it) your Twitch account name. We use these to create and run your league account. Lawful basis: performance of a contract and our legitimate interests in running the league.

Player and sign-up details

Your in-game nickname, MMR, rank, roles, country, linked Steam account, and any answers you provide when you sign up for a season. We use these to run fixtures, standings, rosters, and eligibility. Lawful basis: performance of a contract.

Payments (tickets and donations)

When you buy a ticket or donate, our payment provider (Stripe) collects your name, email, and payment details and shares a confirmation with us. We use these to deliver tickets and acknowledge donations. Lawful basis: performance of a contract, and legal obligation for keeping financial records.

Match statistics

Publicly available Dota match data associated with your Steam account, used for standings and stats pages. Lawful basis: our legitimate interests in running a competitive league.

Site analytics

Aggregate, cookieless usage statistics via our self-hosted Umami instance. This does not set cookies or track you across other websites. See our Cookie Policy. Lawful basis: our legitimate interests in understanding site usage.

Administration and moderation

We may record notes relevant to eligibility and conduct so we can run the league fairly. Lawful basis: our legitimate interests.

Who we share it with

We share personal data only with the service providers that help us run the league: Supabase (hosting and database), Stripe (payments), Resend (email), Cloudflare (backups and replay storage), Discord (login and administrative notifications), Imprint.gg and public Dota data providers (match statistics), and Twitch (stream status).

Some of these providers are located outside the UK/EEA. Where that is the case, the transfer is protected by an appropriate safeguard (such as the UK International Data Transfer Agreement or the equivalent standard contractual clauses). We do not sell your personal data.

What is shown publicly

Your player nickname, MMR, rank, avatar, team, linked Steam profile, and (for casters) Twitch details may appear on public pages such as team, standings, stats, and streams. If you donate, your chosen display name may appear on the supporters leaderboard unless you donate anonymously. Your Discord handle and email are never shown publicly.

How long we keep it

We keep your account and sign-up data for as long as you take part in the league and for a reasonable period afterwards so historical rosters and standings stay intact. Payment records are kept for as long as we are legally required to retain financial records.

Encrypted database backups are held for up to 90 days and then automatically deleted. When we action a deletion request, we remove or anonymise your personal data across our systems, keeping only what the law requires us to retain (such as anonymised financial records).

Your rights

You have the right to access, correct, delete, restrict, or object to our processing of your data, and to data portability.

You can download a copy of your data at any time from your profile page. To have your account and personal data deleted, use the “Request account deletion” option on your profile, or contact us at privacy@koboldleague.co.uk; an organiser will review and action the request.

You can also complain to the UK Information Commissioner’s Office at ico.org.uk.

Age

Kobold League is not intended for children under 13. If you are under 13, please do not create an account or take part. If you believe a child under 13 has provided us with personal data, contact us and we will delete it.

Changes

We may update this notice from time to time. The current version is always available on this page.
